The real cost of running your business on eight different apps

Invoicing here, bookings there, a spreadsheet for the money — the hidden cost of a duct-taped software stack, and when it's worth consolidating.

Most small businesses don't choose a messy software setup — they grow into one. An invoicing app because you needed to get paid. A booking tool because a client asked. A spreadsheet for the numbers. A separate calendar. A forms tool. Before long you're running your business across eight things that don't talk to each other.

It works, sort of. But it's quietly expensive — and not just in subscriptions.

The bill you can see

Add up the monthly fees. Invoicing, a CRM or contacts tool, bookkeeping, scheduling, a forms tool, storage, maybe an email marketing app. Individually they feel small — R150 here, R400 there. Together, a lot of small businesses are paying R2,000–R5,000 a month for software that still doesn't give them one clear picture.

When it's worth consolidating

You don't need to fix this on day one. But it's worth consolidating when:

  • You're spending real time re-keying the same information between tools.
  • You can't get a straight answer on what's owed, what's booked or what's left in the budget.
  • You're paying for more tools than you can keep track of.
